Ever experienced this? 🤔
You’re in a meeting with a mix of people: supplier vs. customer, technical vs. non-technical. Each person has a different perspective on where the meeting is heading and what decisions are being made. By the end, everyone leaves with a slightly different version of the story—and more sessions are needed just to align and agree on a proposal, design, or strategy. 😵💫
This kind of misalignment and miscommunication happens a lot. That’s why we use a simple, structured approach to avoid it:
🔹 Start by visualizing the context and current setup in a simple diagram.
No need to overcomplicate—just use boxes and lines. This helps everyone get on the same page and gives you a shared starting point. Capture this as the “first state” of your deliverable.
🔹 Then, build on that diagram as you make changes.
Keep using the same visual style—boxes and lines—so the conversation stays accessible, even for less technical participants. If needed, sketch out a few alternative scenarios to explore options.
🔹 And finally: agree on the updated diagram before the session ends.
It might not be pretty yet, but what matters is that it reflects a shared understanding. This makes the outcome a team result—not just the view of one person. After the session, you can clean up the diagram and document the full story, but the key decisions have already been made together. ✅
We use this approach in all our customer workshops—and it really works. It keeps things simple, visual, and collaborative, often letting us make huge progress in just a single session. 🚀
For all our workshops, we use @Lucidsoftware —it’s perfect for drawing clean diagrams with blocks and lines, and it already includes all the standard cloud components. 💡
